The academic work that is at the very center of our mission is back to being done almost entirely in person. Faculty are teaching and meeting in person, and students are learning and studying in person. Prospective students and families also visit our building regularly to understand the character of campus life. Our collective expectation as a college is that staff will also show up in person in ways that fully support these educational activities.
To that end, we are requesting the following:
- Please work with your supervisor over the next two weeks (if you haven’t already) to identify your three or more in-person days.
- Our expectation is that the functional and operational needs of your position and team are the priority, and that they take precedence over personal scheduling needs and preferences. We need to approach the three-day requirement as a floor, not a ceiling.
- Please maintain consistency in your baseline in-person days, rather than modifying them to accommodate appointments and other one-off needs.
- Should your work activities or the college’s needs require you to come into the office more than three days in any particular week, you are expected to do so without fewer in-person days the week before or after.
- Each functional area (marketing, finance, admissions, student affairs, human resources, development, etc.) must have at least one person on site every day. If there are instances where no one will be there (sick days, vacations, etc.), supervisors are expected to arrange for someone else on the team or themselves to come in to provide coverage.
We will continue to have a few remote days and weeks scattered throughout the semester. Should you have any questions about any of this, please feel free to reach out to taubmancollegehr@umich.edu.
Hybrid/Remote Work Agreement
Regular staff, non-student temporary staff, research fellows (postdocs), GSAs, and faculty that
do not meet the exclusion criteria in the SPG 201.05-1 are required to have a valid hybrid/remote work
agreements on file in Wolverine Access. Agreements are to be submitted annually with supervisor approval.
Process Overview
- Discussion: Employees and supervisors will discuss and agree on work arrangements aligning with the university’s newly established modes of work. Please note Taubman College requires on-campus work three days a week, with a few offsite weeks throughout the academic year and an offsite period from mid-May to mid-August for staff whose jobs allow remote work.
- Special Note: Because you need to enter the serial number for your laptop and at home equipment (monitor, docking station, etc.) we recommend you complete the next steps on a day when you work at home.
- Recording: After discussing with your supervisor, get started on your RWA by following this path: Wolverine Access → Employee Self Service (ESS) → Remote Worker. Next, please complete the different sections of the agreement:
- Add request: As long as the remote location does not change between your hybrid schedule during the academic year and your remote schedule during the summer, you will only need to submit one request for the whole year. Select Hybrid and enter the effective dates provided by HR.
- Guidelines: Review the University’s remote employment site.
- Acknowledgments: Review the guidelines & expectations. For future reference, you can find them here.
- Request details: Enter your typical remote days per week for the schedule.
- Remote work reason: Please select “other.” Please do not select “job duties.”
- Attachments: No attachment necessary
- Add notes: Add a note with your work schedule for both the academic year and the summer remote period. For example:
- Hybrid: 8/12/XX – 5/16/XX, M-F 9:00 a.m. to 5:00 p.m. in-person M,T,W, remote TH, F.
- Remote: 5/19/XX – 8/8/XX, M-F 9:00 a.m. to 5:00 p.m.
- HR will provide actual dates each year.
- Workplace support: Answer equipment questions as applicable.
- Review & submit: Review the details and submit for approval. If your agreement changes at any point, you will need to submit a new agreement for approval.
- Approval Path:
- First Approver: The designated supervisor in M-Pathways will review and either approve or deny the work arrangement.
- Second Approver: The designated Personnel Recipient in M-Pathways for the department (Taubman College HR) will then review and either approve or deny the arrangement.
- Delegates: Both the first and second approvers can assign delegates to handle approval tasks.
- More detailed information on this process can be found in the Remote Worker MyLinc System Documentation.
- Completion: The Remote Worker agreements are complete once approved by both approvers.
Collaboration and Development
This system enhancement results from a partnership between ITS and UHR, with input from various schools, colleges, units, Michigan Medicine, and Regional Campuses. The goal is to enable more effective data reporting, thereby helping U-M understand work patterns and necessary support.
Here is some other helpful information to help you complete your RWA:
- Remote Worker Type:
- Hybrid (during the academic year): Use your standard weekly work schedule and select the days you’re working remotely. While you might come in on a typical remote day for events, those extra days don’t need to be entered here.
- Remote (during the designated summer remote period): If you’re working 100% remotely, please make sure to enter that information into the system.
- You can find step-by-step instructions in My LINC by searching “Remote Worker.” Resources can also be found on the UHR website.
- If you receive an error message when completing your RWA, please contact the ITS Service Center.
If you need assistance completing the form or have any questions, please contact taubmancollegehr@umich.edu for help.
