Requesting a Website Update

Overview

Requesting updates to websites and pages should be simple, clear, and concise. Use these steps to ensure your updates are made in a timely, accurate manner.

Process

Web updates will be conducted via Google Documents to ensure tracking of changes and requests. 

Simple Content Updates

Use the following steps to create your document and request your simple changes to content on a page.

  1. Create a new Google Document to contain your changes. View the example document.
  2. Each change should have the following information at a minimum.
    1. URL of the page of content that needs to be updated.
    2. A copy of the current content that needs to be updated.
    3. The updated copy to replace the content from point (2b) above.
  3. Multiple changes are allowed in one document, but please put new changes on a new page by inserting a page break (Insert > Break > Page Break; or Control+Enter).
  4. Once changes have been documented share the document with the web manager (Jesse Schmidt) with editing privileges.
  5. The document will be reviewed, and any questions or concerns will be added as comments in the Google Document and assigned to you.
  6. Once changes are completed you will be sent an email stating that the updates have been made.

Major Content Updates

Updates that will move content between pages, create new pages, consolidate pages, or otherwise do not fit into the Simple Content Updates process will follow the steps below.

  1. Create a new Google Document to contain your changes.
  2. Each change should have the following information at a minimum.
    1. URLs
      1. Include the URL of the current page the content lives on.
      2. Include the URL of the page the content needs to move to.
      3. If this is a new page being created,, include the URL of the parent page under which the new page will live.
    2. A copy of the current content that needs to be updated.
      1. If this is a new page, include a page title. Page titles should be concise.
    3. The updated copy to replace the content from point (2b) above.
    4. Include any images via Google Drive link.
  3. Multiple changes are allowed in one document, but please put new changes on a new page by inserting a page break (Insert > Break > Page Break; or Control+Enter).
  4. Once changes have been documented share the document with the web manager (Jesse Schmidt) with editing privileges.
  5. The document will be reviewed, and any questions or concerns will be added as comments in the Google Document and assigned to you.
  6. Once changes are completed you will be sent an email stating that the updates have been made.

Intranet Knowledge Base Content

The intranet is mostly made up of knowledge-base articles. These articles are short and have a single-issue focus. Each article is categorized into a proper location (e.g., Human Resources [parent category] > Payroll [sub-category] > Approving Time [article]) to make for an easily navigable set of information. 

New Content

  1. Create a new Google Document to contain the content. View an example document.
  2. New content should have the following information at a minimum.
    1. Title of article.
    2. Categorization of the article.
      1. Provide only the category name that the article should be assigned to. There can be more than one category per article.
      2. If this is to be placed in a new category, provide the following information:
        1. Category Name
        2. Category Parent
        3. Category Short Description
    3. Include any images via Google Drive link.
  3. Multiple new articles are allowed in one document, but please put each article on a new page by inserting a page break (Insert > Break > Page Break; or Control+Enter).
  4. Repeat from Step 2 for each new article.
  5. Once the articles have been documented share the document with the web manager (Jesse Schmidt) with editing privileges.
  6. The document will be reviewed, and any questions or concerns will be added as comments in the Google Document and assigned to you.
